What it does

Handles the routine, every hour.

  • Answer common questions. Capacity, packages, amenities, policies, and directions — from the knowledge base your venue approves.
  • Prequalify. Event date, guest count, event type, and budget range, using the questions and order you choose.
  • Offer tour times. Proposes available slots from your team’s synced calendar and sends confirmations.
  • Send the right materials. Pricing guides, virtual tours, and FAQs by text or email.
  • Recover the quiet ones. Gentle follow-up when a conversation stops before a tour is booked.
  • Hand off cleanly. Summarizes the conversation and alerts your team when a human is needed.
What it won’t do

Knows when to step back.

  • Negotiate or discount. It cannot create special packages, waive fees, or offer concessions unless you’ve set explicit rules.
  • Make legal commitments. No advice or decisions on contracts, cancellations, liability, or alcohol policies.
  • Guess at availability. If date status is missing or stale, it says so and routes to your team rather than promising a date.
  • Replace your tour. The visit, the relationship, and the close remain with your people.

Where does it get its answers?

From a knowledge base built with your team: your packages, policies, capacities, and FAQs. It doesn’t invent pricing or policies.

How does it know which dates are open?

From the booked, held, and available date status your team maintains in VenueBFF. If that status is missing or out of date, the assistant routes the question to your team instead of guessing.

Does it answer phone calls?

Not at launch. AI voice and Instagram / Facebook DMs are planned for later. Website chat, SMS, and email are available now.
